Advancement Database Manager
Description
The Advancement Database Manager is a key member of the Christian Brothers College (CBC) High School Advancement team and is responsible for the accurate, efficient, and effective management of the systems and data that support fundraising, alumni relations, donor stewardship, communications, and Advancement events.
The Advancement Database Manager serves as CBC’s primary internal resource for Blackbaud Raiser’s Edge NXT and related advancement systems. This position manages constituent records, gift processing, data integrity, reporting, reconciliation, event and auction data, and database procedures. The Database Manager ensures that Advancement staff have accurate and timely information to support strong donor and alumni relationships and informed decision-making.
The ideal candidate is comfortable working with data and technology, and committed to finding efficient and effective ways to improve Advancement operations.
Essential Responsibilities
Database Management & Data Integrity
-Serve as the primary administrator and internal resource for Blackbaud Raiser’s Edge NXT, maintaining accurate, complete, consistent, and confidential constituent and gift records.
-Manage constituent records, including biographical information, relationships, householding, employment, affiliations, giving history, interests, and other relevant information.
-Maintain accurate records of gifts, pledges, payments, recurring gifts, campaigns, funds, appeals, events, sponsorships, and other Advancement activity.
-Establish and maintain database policies, procedures, coding standards, and data-entry best practices.
-Conduct regular database audits, duplicate review, data cleanup, and quality-control procedures.
-Identify and resolve data discrepancies and inconsistencies.
-Maintain appropriate data security and confidentiality.
-Train and support Advancement staff in appropriate Raiser’s Edge NXT use and data-entry practices.
-Serve as the primary liaison with Blackbaud or other technology providers when technical support is required.
Gift Processing & Reconciliation
-Process charitable contributions accurately and efficiently, including checks, credit cards, online gifts, electronic payments, stock, matching gifts, and other forms of giving.
-Enter and code gifts, pledges, payments, recurring gifts, and other transactions according to CBC policies and established gift-processing standards.
-Prepare and distribute gift acknowledgments, tax receipts, and other donor correspondence.
-Maintain complete documentation for gift transactions.
-Reconcile Advancement gift records and deposits with the Business Office on a regular basis.
-Investigate and resolve discrepancies between Advancement and Business Office records.
-Assist with year-end reporting, audits, and other financial documentation as needed.
Events & Auction Data
-Manage constituent and fundraising data associated with Advancement events, auctions, sponsorships, registrations, and other special events.
-Serve as an internal resource for auction and event management platforms
-Coordinate the transfer and reconciliation of event and auction information with Raiser’s Edge NXT.
-Maintain accurate records of event attendance, sponsorships, auction purchases, gifts, payments, and other event-related activity.
-Prepare registration lists, reports, donor information, seating information, and other data needed to support successful events.
-Ensure event revenue and donor activity are accurately recorded in the Advancement database.
-Provide data support for event planning and execution, including occasional evening and weekend responsibilities during major events.
Reporting & Data Analysis
-Develop queries, exports, reports, and targeted lists from Raiser’s Edge NXT to support fundraising, alumni relations, donor stewardship, events, communications, and leadership.
-Produce regular reports tracking fundraising progress, donor activity, pledges, outstanding balances, event participation, and other Advancement metrics.
-Prepare targeted constituent lists for solicitations, stewardship communications, events, alumni outreach, and other Advancement initiatives.
-Provide accurate data and analysis to help frontline fundraisers identify prospects, evaluate donor engagement, and advance relationships.
-Assist with prospect research and wealth screening as needed.
-Support the Advancement team in using data to evaluate fundraising and engagement efforts.
Advancement Support & Collaboration
-Collaborate with the Business Office to ensure accurate and consistent financial and donor records.
-Provide data support to Communications and Marketing for targeted communications, mailings, and other outreach.
-Manage data needs for donor recognition programs and annual donor listings.
-Assist with maintaining accurate mailing addresses and other constituent information.
-Identify opportunities to streamline processes, improve data quality, and make more effective use of technology.
-Participate in Advancement planning and team meetings and provide relevant data and operational information.
-Perform other duties as assigned.
Qualifications & Experience
-Bachelor’s degree or equivalent professional experience required.
-3 to 5 years of hands-on professional experience using Blackbaud Raiser’s Edge NXT required.
-3 to 5 years of experience using auction and/or event management software
-Demonstrated experience in advancement, development, nonprofit, educational, or fundraising operations.
-Strong understanding of constituent management, gift processing, pledges, campaigns, funds, appeals, events, sponsorships, and donor stewardship
-Strong proficiency with Microsoft Office, particularly Excel.
-Experience developing queries, reports, exports, and targeted lists from a fundraising CRM.
-Knowledge of gift-processing standards and advancement database best practices.
-Experience training database users and establishing data-entry standards preferred.

-Ability to translate data into clear, useful information for Advancement colleagues and school leadership.
